Terms & Conditions
Indian nationals having valid passport with six months validity from return date are eligible to travel on Meraj Travels fixed departure. The necessary VISA, Insurance, Vaccination, Clearances if any are necessary to take part in International travel. Also you will have to comply with applicable RBI guidelines and Government of India rules.
Booking of a tour will be considered only after completing the booking formalities:
- Completing thebooking form with your signature.
- Making the non refundable Booking payment.
- Acknowledging the Terms & Conditions with your signature on each page.
The company shall not accept any liability or responsibility for any damages, loss, baggage loss, injury, accident, death, breakdown or any irregularity, which may occur in carrying out the tour arrangements, or weather conditions, strikes, war, quarantine and any other cause, whatsoever, and all such loss or expense must be borne by the passengers. The VISA approval / rejection by consulates are based on your documents, and it is the sole discretion of the consulate and the company shall not be responsible / liable for the same. Kindly take the complete information at the time of booking from sales outlets. Any loss or additional expenses on VISA process must be borne by the passengers. The respective destination’s immigration / consulate can change VISA fee, terms, documentations & procedures at any time. We may ask from passengers more documents from time to time as per consulate requirements. You may be required to appear personally before the embassy / consulate for any interview(s) / biometrics and the travel expenses for the same must be borne by the passengers. All communication will be addressed to you by mail only. It is your responsibility to check your mail regularly after registering your tour with the company. Kindly ensure the communication link is working by sending the acknowledgement back to us in mail. If you prefer any other mode of communication, kindly inform us at the time of booking.
We reserve the right to amend, alter, vary or withdraw any particular excursion given in the itinerary, due to unavoidable reason. For the convenience of our passengers, we do sometimes amend the itinerary. However, all the services otherwise, remain almost similar.
We reserve the right to alter a change of date on the tour booked by you, such amendments may be due to circumstances beyond our control/ operational reasons. In such cases, we will offer alternative tour dates. However, we would not be responsible or liable to pay any compensation for damages or, a consequential loss, or any other expense incurred by you.
There are no refunds for any services i.e. meals, sightseeing etc. not utilized on your tour. We cannot process a Special meal for infants, children, and passengers with certain medical condition like diabetes, cholesterol, high BP or any other conditions. It would be advisable to travel on a customized tour for passengers who need Special Care & Meal and not in Fixed departures.
In case you decide to change the date of your return reservation, the exact amount payable to the airline will be advised once the same is confirmed.
In case of taking part in any adventure sports during your tour package or if you sign any undertaking form from the service provider / person, you shall take-up the complete responsibility at your own risk. We shall not be liable for any damage/loss due to your participation in such events.
Kindly take a note that, in case of death of tourist(s) all the arrangements relating to transportation, post mortem, death certificate, repatriation of dead body, all personal effect/ property & insurance claim etc. shall be made by accompanying relative or accompanying known acquaintances of the deceased. The entire expenses shall be borne by the accompanying relative or accompanying known acquaintances of the tourist. The company or any tour leader shall not be liable or responsible for the same.
Itinerary may change at any time. We reserve the right to alter, amend, change or modify the tour package and itineraries before or during the tour. We will make reasonable efforts to notify you of such changes before tour. If such events occur during the tour, our tour leader & local representative will inform you of the changes. Due to factors beyond our control such as Force Majeure events, strikes, fairs, festivals, sport events, weather conditions traffic problems, technical error on bookings (hotel / flight / train, etc) restricted entry at the place of sightseeing etc.
Taking the Foreign Exchange is recommended, as also it is advisable to carry some part in cash and rest in Travellers cheques / Currency Card. It is the responsibility of passenger to carry SIM card or Mobile communication for their personal use. The company will not take any responsibilities for such requirements.
Smoking, consumption of alcoholic beverages and snacks is strictly prohibited on coaches. You should keep the coach clean to avoid discomfort to you and other tour participants. Never leave behind any property or belongings in the coach. The company would not be responsible or liable under any circumstances.
Taxes paid are subject to change. Service Tax is based on prevailing Government Service Tax. Any changes or introduction of fresh taxes etc., shall be borne by the customer.
In case of one or more, but not all tour participants named in the booking form sign the booking documents, it shall be deemed that the signatories have been duly authorized by all such tour participants to sign on their behalf assuming full responsibility and accordingly it shall be deemed that all such tour participants have signed the booking document.
Please note that there is no contract between the company and the tour participant, until the booking documents physically signed and received by the company, and the company has also received the non-refundable interest free booking amount. Also, the full payment must be received in accordance with prescribed payment time limit. Or else the company reserves the right to cancel the booking, and apply scale of cancellation charges, as applicable.
In the event of dispute arising out of or relating to this contract, including any question regarding its existence, validity or termination, the parties shall first seek settlement of that dispute by mediation in accordance with the applicable rules. The mediator shall be appointed by the company.
If the dispute is not settled by mediation within (thirty) days of the appointment of the mediator, or such further period as the parties shall agree in writing, then the dispute may be settled in accordance with the Arbitration and conciliation Act 1996 by a sole Arbitrator to be appointed by the company. The arbitrator proceedings will be in Chennai. The arbitrator’s decision shall be final and binding on both parties. In case of any dispute concerning the award, the Courts in Chennai alone shall have exclusive jurisdiction.
This contract will be governed by Indian laws. You agree that in the event of dispute or difference between the parties the exclusive jurisdiction shall vest in the competent court / forum / tribunal in Chennai only. As to the interpretation of the aforesaid terms and conditions, the decision of Meraj Travels shall be final and binding on you. The company reserves its right to change the Terms and conditions at any time, without any prior notice, and without assigning any reasons, thereof.
POINTS TO BE NOTED
If the departure other than Madurai, Passengers joining this tour must reach airport at their own expense. Lunches and Dinners and local meals are pre set, and a-la carte is not possible. Breakfast will be buffet in continental style. On certain days packed lunch will be provided. (Kindly refer your itinerary) Any damages caused to the hotel rooms / Coach / public property etc during your stay, shall be payable by the passengers. Meraj Travels reserves the right to claim any additional expenses incurred due to delay or changes in schedules of train, Flight, bus, ship or other services. The meals specified in your package are to be provided at the location notified as per the voucher given by tour operator. Any customer expecting the parcel of the same is not permitted / guaranteed. Deposit of any amount with Hotels & Tour operators – customer should deal directly. We have no Control over such arrangements. Resources, Quality, Culture, Sightseeing will differ from country to country, as a traveler you are expected to explore the differences, any wrong comparisons may result in dissatisfaction. Some Hotels can insist deposit amount by way of currency or credit card as a guarantee/ Passport at the time of check-in, the same will be returned at the time of check-out. Please ensure to settle the same before checkout at the hotel directly.Each destination will have certain specific information, the same mentioned with the tour itinerary for your reference – under the heading of Kindly refer the details of the same before signing the document.
PAYMENTS
Please check your Invoice for the due date. Kindly make the payment on or before the due date mentioned. The company reserves the right to amend the prices given in the sales material or on the website and to charge accordingly in case of currency fluctuation, increase in cost of fuel/Tax, VISA charge increase and for any reason etc. The same must be paid for in full before your departure. If you make any payment in cash for Rs-50,000/- and more, you would have to submit a copy of your PAN Card. You can make payment in favour of Meraj Travels PVT LTD., by CASH, Cheque/ Demand Draft. RESPONSIBILITIES
Please refer to the detailed ‘Terms and Conditions’ before making the Booking. Kindly sign the document as token of acceptance, after reading & understanding the same.
During the Tour your documents & belongings are each passenger’s responsibility, any loss can disturb the proceedings of Group Tour. You will have to take responsibility of all your belongings at all times during your tour. If you forget to carry or, if you lose any essential travel documents, you may have to incur extra expenses or you may be compelled to curtail the tour, for which you alone shall be liable / responsible…
HEALTH
Your health is entirely your responsibility. It shall be your duty to inform us in writing in case you have any medical condition that may affect your tour participation at the time of booking. If such health conditions are noticed at any given time, we may decline to accept you on that tour or continue having you on that Tour. You are advised to carry your own medicines with proper prescription and bill of the medicine purchased. You will need to adhere to the conditions, rules and regulations of each service provider. We are organizers only. We inspect and select the services to be provided to you. However, we do not own, operate or control the service providers. (Airline, Coach Company/ coach, hotels, restaurants, Cruise/shipping Company, kitchen caravan or any other service provider). Example – you need to check the baggage rule of the airline to understand your eligibility.
All itineraries are planned with certain timings to ensure that all the services can be duly provided. If you miss any service due to unpunctuality or delay for reasons beyond our control (Because of you or co-passengers delaying to maintain the time), we shall not be liable / responsible to refund any amount. All passengers are expected to maintain good relations with fellow passengers in the group and should abide by the rules of the land.
TRAVEL DOCUMENTS
It is entirely your responsibility to hold and carry all the relevant documents properly till you come back to India. Any loss / damage during the travel or after handing over to you, the company shall not accept any liability or responsibility and no refund or postponement will be provided.
CANCELLATION POLICY
If you wish to cancel your booking, it must be notified to us in writing. The expenses applied on bookings / reservations such as the airline, hotels, Transports, cruises, VISA, etc will be passed on to you as per service providers terms & conditions. When a consulate rejects a VISA or, if the tourist cancels his/her travel, the cancellation charges will be applicable to the traveler. The confirmation of all arrangements/ booking are required at the consulate during the time of processing the VISA, hence the cancellation policy comes into play. Besides, the Meraj Travels has to bear certain administrative & processing expenses in order to make the necessary reservations / bookings for the traveler.
The Service provider terms and conditions are applicable to each booking / reservation done by us on behalf of passenger. For the understanding of the passenger, certain general conditions are given below, though the same cannot be deemed final.
Tour Cancellation :
30 to 8 Working Days – 50% charge on package. Within 7 Working Days – 100% charge on Package. Air ticket cancellation charges subject to the terms of airline. 100% Charge for VISA & Travel Insurance.
The cancellation charges shall apply irrespective of the reason for cancellation. You understand and acknowledge that these charges are a genuine pre-estimate of the damages that we will suffer on account of cancellation. You understand that these damage are called liquidated damages in legal language, which are payable without proof of actual damages. You agree not to dispute such deductions, or demand proof of actual damages. Under the circumstances, you agree not to proceed legally against us unless, there is a manifest error from our end.
REFUNDS
Any refund payable to the customer is processed only on the booking name, by means of cheque, and any transfer of funds to other name or request of the refund on other name, is not possible. No interest will be payable on refund dues. If your booking is not accepted by the company, the amount paid by you towards this booking would be refunded by the company without any interest.
HOTEL POLICY
Standard check-in time 2 pm & check-out time 12 noon. However, each destination & some hotels can maintain different time as per their own policy. We cannot guarantee the availability of rooms like adjoining / interconnecting / same floor / smoking / non-smoking etc. Hotels in Europe & Far East can have exceptionally small rooms. Hotels in Europe may not have room service. Early check-in & late check-out is subject to Hotel approval. Any additional cost for the same should be paid directly.
ACCOMMODATION TYPES & LIMITATIONS
SINGLE ACCOMMODATION
In case you book on a single occupancy basis, You will have to pay single room supplement.
TRIPLE ACCOMMODATION
We recommend a maximum of only three persons in one room. Triple rooms are usually no larger than the twin room and the third bed is often a rollaway bed or cot placed in twin room.
DOUBLE (TWIN) ACCOMMODATION
The cost of the package is given based on this option of room sharing. Double room has single queen size bed, while twin will offer two separate beds in the same room. However, the rooms are subject to availability.
CHILD ACCOMMODATION
A child travelling with parents can take two options
- Child with extra bed
- Child without extra bed.
The changes after making the payment or during the travel are subject to availability. If you need extra bed during travel, the same can be provided on availability and, you will be bound to pay additional amount charged by the concerned hotel, directly (subject to availability & as per hotel policy of extra bed/s). Kindly take the specific details for child & senior citizens at the time of booking.
